The big picture

One thread from first touch to repeat customer — and where each screen lives.

Deetzo CRM is organised around a single idea: every interaction hangs off the lead. A lead is captured, worked through a pipeline, quoted, and — when it's won — converted into a customer that carries the whole history forward into sales orders, deliveries, and invoices. Calls, emails, tasks, and campaign touches all thread back to it.

Where the screens live

The CRM workspace is a set of tabs at /crm. Quotes and customers also appear under Sales. This is the full map — some tabs only show for certain plans/roles (see access, below).

Who can see what

CRM access is two layers — your plan (entitlement) and your permission:

LayerControlsNotes
Plan (entitlement)CRM itself, plus advanced reports and campaignsCRM ships on Growth and Business; not on Lite. Campaigns & email-sync are add-ons.
PermissioncanViewCrm · canManageCrmOwner / Admin / Manager get both; Staff & Operator get neither by default. Quotes, tasks and cases all key off canManageCrm.
Role elevationCampaigns tab, assigning to other peopleTenant-wide actions stay owner/admin-only.

While your profile loads, the shell shows the reduced tab set — staff never see admin-only tabs flash on screen. Reports also require the advanced-reports entitlement, and Campaigns require both elevation and the campaigns add-on.

01

Capturing leads

Six ways in — and one matcher that stops duplicates at every door.

Leads arrive from many directions. However they land, they get a sequential number (L0001, allocated atomically so two never collide), a source, and a status of New.

WAYS IN Enquiry form / card your website · QR Lead API / Google Ads automatic CSV import 4-step wizard New Lead form manual · OCR Same-party check phone, then email Existing lead note added to it New lead L0001 · New known Workflow rules assign · task unowned leads only Follow-ups first is required Quote draft · revise Approval if switched on Sent lead → Proposal Accepted lead → Won Sales order or invoice Solid = the usual path. Dashed = only when it applies.
FlowEvery door leads to one check, then one path to the quote. Whichever way a lead arrives, the same-party check (phone, then email) either logs a note on the lead you already have or creates a new one at New. Your CRM Workflow Automation rules can then assign it, create a task or notify someone — but only for leads that arrive without an owner. From there a rep works the follow-ups, raises the quote, gets it approved (only if Settings → Quotation approval is switched on), sends it, and on acceptance creates the sales order or invoice. Public enquiries that fail the spam checks are parked under Held for review in the enquiry form settings, where you can release a real one as a lead.

Inbound capture, in detail

  • Public enquiry form (/enquire/<slug>) and digital business card (/c/<slug>) — hosted pages a prospect fills in. Submissions carry a hidden honeypot and require consent; the backend validates and creates the lead as source: website / digital_card, created by system.
  • Google Ads lead webhook — paste the generated webhook URL into your Google Ads lead form. Ad leads land as source: google_ads carrying the gclid / campaign attribution, de-duplicated on Google's own lead_id.
  • Rate-limited & safe — the public endpoints throttle per-IP and per-owner (a burst limit plus a persistent daily quota) and fail open, so a genuine rush of enquiries is never dropped.
  • CSV import — a 4-step wizard (Upload → Map → Preview → Done); columns map to company, contact, phone, email, source, value, and more.
  • Manual — the New Lead form, with company autocomplete (links an existing customer), business-card OCR, and smart-paste extraction.
Enquiries carry their campaign with them new

A public enquiry no longer lands as a flat "website" lead. Deetzo reads the visitor's first-touch UTM tags (forwarded by your marketing site) and sets the lead's source from them, keeping the raw tags on the lead's custom fields — so paid, social and organic traffic stop looking identical in Lead Source Performance.

A repeat enquiry from someone already in the CRM is attributed too. Their original first-touch source is deliberately left alone — it is the lead's history — and the returning campaign is recorded alongside it as a last touch, with the activity note naming the channel. An untagged return visit writes nothing, so a direct visit can never erase a known last touch.

The full contract for wiring your own website to your CRM — the three integration methods, the API, the UTM mapping and the field-mapping traps — is in docs/modules/WEBSITE_INTEGRATION_README.md in the repo.

One matcher, everywhere

A single "same-party" matcher (normalised phone, then email) guards every entry point — the create form, CSV import, the duplicate card on a lead, the convert sheet, and the server webhooks. A repeat enquiry from a known person logs a note on the existing lead instead of spawning a duplicate.

Lead sources

The source field feeds source-performance reporting. Values: direct · referral · website · whatsApp · email · phoneCall · exhibition · coldCall · socialMedia · repeatCustomer · googleAds · digitalCard · other.

02

The pipeline

Four open stages out of the box — extendable to seven, and renameable — plus a score that flags what's hot.

Every lead sits in a stage. Out of the box four open stages form a stepper; Lost is the terminal off-ramp (recorded as either lost or unqualified, with a reason).

New every channel Qualified you move it Proposal auto: quote sent Negotiation you move it Won auto: accepted quote reopened Needs Analysis Value Proposition Decision Makers OPTIONAL · OFF BY DEFAULT · SETTINGS → CRM → PIPELINE STAGES Lost reason required any open stage
LifecycleYou move leads forward; quotes move them for you. Marking a quote Sent or Viewed lifts its lead to Proposal, and marking it Accepted makes the lead Won — both forward-only, so a lead already further along is never pulled back. The three dashed stages exist only once switched on for your company, and sit between Qualified and Proposal. Lost is reachable from any open stage and always asks for a reason. Reopening the accepted quote that won a lead returns the lead to Negotiation.

Your pipeline, your stages new

A longer sales cycle needs more than four steps. Three further stages ship switched off, ready to be turned on per business under Settings → CRM → Pipeline Stages. Enable one and it appears — in its fixed position in the funnel — on the board, the stage pickers, the reports and the analytics:

The same screen lets you rename any stage — every one of them, not just the optional three. If your team says "Site Survey" rather than "Needs Analysis", or "Trial" rather than "Proposal", type it in and the whole app follows: board columns, filter chips, the move-stage sheet, reports and the search index. Renaming changes the label, never the underlying stage, so history and reporting stay comparable.

Off by default, and safe to leave that way

A business that never opens this screen keeps the classic New → Qualified → Proposal → Negotiation → Won / Lost flow, unchanged. Turning a stage on doesn't move any existing lead — it simply makes a new step available to move into. Turning one back off is equally safe, but move any leads sitting in it first, or they will be parked in a stage that no longer shows.

Moving a lead forward opens the move-stage sheet, where you can also update deal value, expected-close date, and a stage note. Choosing Lost requires a reason. Closing a lead stamps closedAt and clears its next follow-up.

Score & "hot"

  • Lead score (0–100) is computed from profile completeness, deal size, priority, stage, engagement, and recency — all weights are configurable.
  • Hot has two meanings: the ★ star is a manual pin an owner sets; "hot by score" means the score crossed the threshold (default 60). The dashboard's Hot list uses the score.

Two views of the same book

The Leads tab toggles between a dense list (great for filtering and bulk actions) and a Kanban board (great for seeing the pipeline shape and dragging deals along).

erp.deetzo.com/#/crm · Leads

ScreenLeads — list view. Stage-count chips across the top (New 13, Qualified 1, Proposal 6, …) plus saved views and quick filters (My leads, Unassigned, Follow-up, Stale 7d+, Never contacted). Every column is sortable.

The lead detail

Opening a lead reveals the cockpit: a pipeline stepper with coaching ("what to do before the next stage"), quick actions (Call / Email / WhatsApp / Convert), a duplicate-detection panel, and eight tabs — Overview, Activity, Quotes, Tasks, Docs, Emails, Notes, Discussion.

erp.deetzo.com/#/crm/lead/<id>

ScreenLead detail. The stage bar + "N to do before <stage>" coaching, the action row, a possible-duplicates panel (same phone/email), and the record fields. The Activity tab merges five streams — activities, follow-ups, tasks, emails, history — into one timeline.

Open vs closed activity new

The Activity tab now splits in two: Open activities (upcoming and overdue) sit above Closed activities, so what still needs doing is never buried under what's done. The closed half carries a view switcher — Column (one column per category), Tab (a category chip selector) or Chronological (the classic month-grouped stream) — and remembers your choice.

The audit trail new

Every plain field edit now stamps who changed it, not just stage moves and re-assignments. The Overview shows Created by and Modified by, the header carries a live "updated X ago" chip, and lead creation itself is logged, so the history reads from the very first event.

Contact fields

Alongside the primary contact, a lead carries secondary email, mobile, fax, Skype ID, Twitter and a rating — the identity fields a Zoho-shaped process expects. All optional; the Overview shows only the ones you fill in. Phone numbers accept international (E.164) formats, not just Indian mobiles, on the lead form and on every public enquiry route.

Assigning work

Assign a lead to a rep from the detail or the board; a cascade option moves the lead's open tasks with it and notifies the new owner. Assigning to other people is an admin/manager action.

03

Follow-ups & tasks

The discipline layer — so a promising lead never goes quiet.

A new lead requires a first follow-up when it's created. From there, the Follow-ups workspace is where reps live: six views over the same book of work, each surfacing "what to do next".

erp.deetzo.com/#/crm · Follow-ups

ScreenFollow-ups — Today. The queue sidebar counts each bucket; cards are worked top-to-bottom (Log or Snooze); the right rail offers Call / WhatsApp / Email, a suggested next step, and the lead's timeline. "Today's progress" tracks the day's calls.

A follow-up has a status (planned · completed · rescheduled · cancelled) and, once done, an outcome (connected, no-answer, voicemail, interested, not-interested, …). Snoozing pushes it out without touching the lead's "last updated" time, so your idle-lead metrics stay honest.

Tasks

When a follow-up needs more than a call, escalate it to a Task — a fuller work item with an assignee, checklist, participants, sub-tasks, dependencies, and reminders (none / at deadline / 1h / 3h / 24h / 48h / 1 week before). Task status runs pending → in_progress → in_review → completed (plus on-hold, cancelled, re-open). Tasks can attach to a lead or any business record (invoice, quote, customer, supplier), and reusable task templates pre-fill a checklist and default assignee.

04

Quotes

A priced proposal with revisions, currency, terms — and a status that nudges the lead forward.

A quote can hang off a lead or be raised customer-first (standalone). It has line items with margin and discount, a validity date, terms & conditions, and a currency (INR or USD).

erp.deetzo.com/#/sales/quotes
Quotes list with a status funnel (Draft, Sent, Accepted, Win Rate) and a table of quotes showing company, items, amount, status, expiry, date and source lead
ScreenQuotes. The status funnel (Draft / Sent / Accepted + win rate), and per-quote rows with amount, expiry badge, and the source lead it came from. Foreign-currency quotes without an FX rate are flagged and excluded from totals.

Status lifecycle

Draft new or revision Approval if switched on Sent lead → Proposal Viewed customer has it Accepted lead → Won Back to draft Reopen — only while no sales order / invoice exists Rejected Reopen or Revise Reopen → Draft Sales order / Invoice Convert to … Approval is a stamp on the draft, not a status: until approved the quote cannot be sent, marked accepted or converted.
LifecycleOnly an Accepted quote converts, and Accepted is a one-way door. A draft can also be marked Accepted directly when the customer says yes offline. If your company switches on Settings → Quotation approval (single-step, or multi-step by amount), a draft must be Sent for approval and approved before it can be sent, shared or downloaded for the customer, marked sent or accepted, or converted — and editing an approved quote's lines or amounts sends it back for approval. After acceptance you are offered Create sales order; the detail screen also offers Convert to invoice and Convert to sales order (one of each per quote).

There's no stored "expired" status — expiry is derived from the validity date (a red Expired or amber N days left badge). Accepted is a one-way door: the only way back is an explicit Reopen, and reopening is blocked once a sales order or invoice exists downstream.

Create, revise, compare, copy

  • Revise — spins a new revision (QT-0001-R1) linked to its parent; Compare shows a line-by-line diff between revisions with a grand-total delta.
  • Copy from quote — pulls line items from an existing quote (converting currency if needed).
  • Pricing — each line's effective price is price × (1 + margin%) × (1 − discount%). Switching a quote to USD converts line prices and forces GST to 0. While Settings → GST → Composition scheme is on, the quote shows the ex-tax total and converting it raises a Bill of Supply. Turning the scheme off shows GST on the quote again; a quote already sent is not rewritten.
  • Terms — built-in templates for domestic goods, services, and export (USD); a quote's own terms override the company default.
Quotation approval opt-in

Off by default. Turn it on under Settings → Quotation approval: Single-step holds every quote until someone with the Approve quotations permission approves it; Multi-step routes a quote through the steps whose minimum amount its total reaches (a quote below every minimum needs none). The approver sees Approve / Reject on the quote; the person who submitted it can Withdraw. Nobody but the owner approves a quote they submitted themselves.

Quotes move the lead for you

Marking a quote Sent or Viewed auto-advances its lead to Proposal (forward only). Marking it Accepted auto-advances the lead to Won and stamps the won value onto it — no manual stage change needed.

05

Win → convert

The chain that turns a won lead into a billable, fulfillable order — with every link traceable both ways.

Winning a deal isn't the end — it's a hand-off into Sales. The conversion chain carries the customer, the priced lines, and the currency all the way to the invoice, and keeps back-links at every hop so you can always answer "where did this come from?".

StepWhat happensRule
Lead → CustomerConvert sheet creates a new customer or links an existing one; it carries name, contacts, address, GSTIN and GST treatment across.Convert sets only the customerId link — it does not move the lead to Won (that's a separate stage action).
Quote → Sales OrderAn accepted quote becomes an SO; margin/discount fold into the line rate; currency carries over; the SO back-links its quote and lead.Quote must be accepted; one SO per quote. Expired quotes need a confirm.
SO → DeliveryA delivery note prefills to the remaining-to-deliver qty; dispatch rolls quantities onto the SO. It moves no stock — finalising the invoice is what takes goods out of stock.SO stays open until fully invoiced.
SO / Quote → InvoiceAn invoice draft is created from the SO (prefilled to remaining qty) or directly from the quote.Nothing auto-finalises; the SO only mutates when the invoice is finalised.

Sales-order lifecycle

draft→ pendingApproval→ approved→ confirmed→ partiallyInvoiced→ invoiced→ closed · rejected · cancelled · voided

Pending approval and Approved only appear for a business that switches on Settings → Sales order approval (off by default) — everyone else still goes draft → confirmed in one tap. See the Sales & Invoicing guide for the full approval flow.

The SO detail screen runs a next-step engine: Draft → Confirm order → (Create work order, if manufacturing) → Create invoice → Create delivery → done — bill first, then dispatch against the invoice. Money flows one way — margin and discount become the line rate, so no discount fields survive downstream to be double-applied.

The trace works backwards too

From any invoice you can walk back: Invoice → SO/quote → lead. The accepted quote stamped the lead's wonFromQuoteId and customerId, so the whole chain is reversible for audit. Reopening an accepted quote (blocked if an SO/invoice exists) also rolls the lead back from Won to Negotiation.

06

Customer 360 & contacts

The won account, with its entire relationship on one screen.

Once a lead converts, the customer becomes the hub. The 360 view pulls together every document and interaction — so a rep opening an account sees revenue, what's outstanding, and the whole quote-to-payment history at a glance.

erp.deetzo.com/#/sales/customers/<id>

ScreenCustomer 360. The health strip (Revenue, Outstanding %, Overdue, Invoices), lifecycle chips (Quotes · Sales orders · Deliveries · Production · Leads), tabbed history, and a right rail with payment aging (Current / 1–30 / 31–60 / 60+) and the linked Inquiries & Leads.

The tabs cover the full relationship: Invoices, Quotes, Cases, Sales Orders, Deliveries, Production, Payments, Statement, Activity, Notes. The Statement tab is a running-balance ledger (opening balance + invoices vs payments + credit notes) with a PDF export.

Contacts

The Contacts tab is a de-duplicated directory of every person across your leads (there's no separate contacts collection — they're derived from leads and their secondary contacts), with call / WhatsApp / email one tap away.

erp.deetzo.com/#/crm · Contacts
Contacts directory listing company, contact person and role, phone, email and status with quick call, WhatsApp and email actions
ScreenContacts. Company · person · phone · email · pipeline status, with quick-contact actions. Tapping a row opens the underlying lead.

GST & tax on the customer

Because customers feed invoicing, they carry India-GST fields: GST treatment (registeredRegular · registeredComposition · unregistered · consumer · overseas · sez · sezDeveloper · deemedExport), tax preference (taxable · exempt), GSTIN, PAN, and place of supply. The treatment governs whether a GSTIN is required and whether the sale is zero-rated; when a lead converts, its GSTIN sets the treatment automatically.

07

Cases — post-sale support

Turning "there's a problem" into a tracked, answerable ticket.

A Case (CS-0007) captures a support issue against a customer — subject, priority, origin, and an optional reference to the invoice / SO / challan it concerns. It carries a threaded conversation and a status ladder.

new→ in_progress→ waiting_on_customer→ resolved→ closed
  • Priority: low · medium · high · urgent. Origin: phone · whatsapp · email · siteVisit · other.
  • Resolving requires notes — you can't mark a case resolved without recording the resolution; a closed case can be re-opened.
  • The overdue clock follows the priority new — urgent 4 h, high 24 h, medium 72 h, low 120 h from the moment the case is raised. (An earlier edition of this guide said a flat 72 hours; that is now only the medium-priority figure.)
  • Link the case to its lead as well as its customer, so a problem raised by someone you are still selling to shows up on both threads.
  • Archive a case to take it off the working list without deleting it — the record, its thread and its history stay intact.
  • From the case you can WhatsApp or email the customer an update in one tap.
  • Cases appear on the Customer 360 view, so support history lives alongside the sales history.
08

Campaigns & email

Reaching many leads at once — and every one-to-one message in between.

Campaigns are how you touch a segment of leads with email or WhatsApp, track opens and replies, and attribute the leads (and revenue) that result.

erp.deetzo.com/#/crm · Campaigns

  • Type: email · whatsApp · exhibition · googleAds · coldCall · socialMedia · mixed · other. Channel decides whether Deetzo actually sends (email / whatsApp) or just tracks (none).
  • Status: draft → scheduled → sending → completed (plus paused, cancelled). A built wizard walks Details → Audience → Content → Schedule → Tracking.
  • Drip steps send follow-on emails after N days, and can stop on Won so you don't keep emailing a closed deal.
  • ROI is computed from budget, actual cost, linked leads and won leads; recipients are keyed by lead id, so a lead is never double-added.
Campaign Schedule / Send now Dispatcher every 3 min Email sent your SMTP · tracked Opened / clicked counted on campaign Reply drip stops Bounce marked bounced Unsubscribe never mailed again Suppression list one per address skipped every run Drip steps follow after N days and stop when the lead is Won or Lost (if "stop on Won" is on).
FlowSend once, then let replies and opt-outs steer the rest. A background dispatcher picks up due campaigns every few minutes and sends a bounded batch each run, within your daily quota. Every send is tracked; a reply stops that person's drip, a bounce flags the address on the lead, and an unsubscribe puts the address on the suppression list, which is checked before every send — so it is never mailed again.

How email actually sends

Email goes out over your own SMTP (configured per user or per business; Gmail works out of the box). Two paths:

PathUsed for
Interactive sendThe quote/compose screen, bulk-email dialog, and template test — one authenticated call per message, with attachments and a tracked "sent" record.
Scheduled dispatchCampaigns are picked up by a background job every few minutes: it claims due sends idempotently, respects the suppression list, sends the initial batch and any due drip steps.
Tracking & inboundOpens, clicks and unsubscribes are tracked; inbound replies sync in via IMAP so the thread lives on the lead.

The inbox improved

  • Threading and pagination — replies group into conversations, and a long mailbox pages rather than trying to load everything at once.
  • Attachments — incoming attachments are stored and readable from the thread.
  • Create a task from a mail in one action, so a request that arrives by email doesn't live only in the inbox.
  • A daily send quota, shown honestly — a banner tells you how much of the tenant's day allowance is used before you start a bulk send, instead of failing halfway.
  • Test send a template to yourself before it goes to a segment, and enrol a lead on add so someone joining an audience starts the drip.
  • Tenant identity — your own tagline and banner on outbound mail, and an auto-reply-task setting so a reply can raise work automatically.

WhatsApp uses ready-made templates (Introduction, Quote sent, Follow-up, Payment reminder, …) and opens wa.me with the message pre-filled — an assisted send from your own number, not a server broadcast.

09

Dashboard & reports

The daily pulse, and the deep analytics behind it.

The Dashboard is the rep's morning screen: eight KPI tiles, each of which drills straight into the leads it counts, plus today's follow-ups and a pipeline snapshot.

The Reports tab is where managers analyse the engine — funnel, stage velocity, forecast, source performance, and a team leaderboard.

ScreenCRM Reports. The Lead Conversion Funnel (New → Qualified → … → Won, with Lost and Unqualified split out) and Pipeline Stage Analytics — average days-in-stage, so you can see where deals stall.

Reports also cover win/loss by source, a probability-weighted sales forecast by close-month, quote analysis, email & campaign performance, a team leaderboard (with median first-contact time), and product / industry / geography breakdowns. Both screens carry a date-range picker and flag when a lead set was truncated so a number is never silently capped.

Configuring CRM

The settings that shape the pipeline, the scoring and the forecast — all under Settings.

CRM is no longer one-size-fits-all. Everything below lives under Settings (/more) and needs canAccessSettings; each is per-business and takes effect for everyone immediately.

SettingWhat it changes
Pipeline Stages newSwitch on the optional stages — Needs Analysis, Value Proposition, Decision Makers — and rename any stage. Off by default. See §02.
Stage GuidanceThe coaching shown on the lead's stage bar: what a rep should have done before a lead may move on.
Stage ProbabilityThe win probability attached to each stage, which is what drives the weighted pipeline and the sales forecast.
Lead ScoringThe weights behind the 0–100 score, and the threshold above which a lead reads as "hot".
IndustriesThe managed industry picklist. It used to be free text, which fragmented the Industry report across "Pharma", "pharma" and "Pharmaceuticals"; reps can still add a value from the lead form and it joins the list for everyone.
Enquiry FormThe public enquiry page and the embeddable form — which fields it asks for, and the branding it carries.
CRM Custom FieldsExtra fields on leads, tasks, issues and projects — and, since v1.1, on sales and purchase documents too (see the Sales guide, §08).
CRM Workflow AutomationRules that fire on a record change — assignment, notification, follow-up creation.
CRM Email IntegrationSMTP / IMAP for sending and syncing replies, plus the tenant sender identity.
Rename ≠ re-model

Renaming a stage changes only its label. The stored value on every lead is unchanged, so a rename is safe mid-quarter and your historical funnel stays comparable. The same is true of the industry picklist — editing the list never rewrites the industry already recorded on a lead.

11

Scenarios — end-to-end playbooks

The routes a real deal takes through the module.

Inbound web lead → won happy path

Prospect submits your enquiry form. A lead is created as source: website, New, with a first follow-up.dedup-checked on phone/email
Work the follow-ups. Call, log the outcome, move to Qualified when there's a real requirement.
Send a quote. The lead auto-advances to Proposal on send.quote: draft → sent
Mark it accepted. The lead auto-moves to Won with the won value stamped; convert the lead to a customer.quote accepted → lead Won
Create the sales order from the accepted quote, then invoice and deliver.

Cold lead worked to a decision pipeline hygiene

Filter "Never contacted" / "Stale 7d+" on the Leads tab or work the Follow-ups Board.
Log attempts; snooze when awaiting a reply (keeps idle metrics honest).
No fit? Move to Lost with a reason — recorded as lost or unqualified for clean win/loss reporting.

Quote revised, then accepted negotiation

Revise the quote after pushback → a new revision (QT-…-R1) linked to the original.
Compare revisions to show the customer exactly what changed (price / qty / discount, grand-total delta).
Accept the winning revision → lead Won → convert to Sales Order.

Campaign → attributed lead marketing

Build a campaign, pick the audience, schedule the send.
Background dispatch sends emails and drip steps, tracking opens and replies.
Replies attach to the lead and stop its drip; the campaign's ROI reflects leads and won revenue.

The one mental model to keep

Everything hangs off the lead. Capture it, score it, work the follow-ups, quote it, win it — and the moment it's won it becomes a customer that carries the whole thread into orders, deliveries, and invoices. Quotes move the stage for you; conversion keeps the links; the customer 360 is the payoff.
